Privacy notice

The College of Medicine and Veterinary Medicine communications team will process the personal data of all individuals who either nominate or are nominated as part of 300 Faces of Edinburgh Medical School in order to deliver this campaign. We are processing the information about you for these purposes below and by submitting a nomination or consenting for your nomination to be included in the campaign, you are entering into an contractual agreement for us to do so. 

Personal data of these individuals will be used to:

• Check eligibility for the campaign
• Review nominations and make decisions as part of the selection process
• Contact individuals who have submitted a nomination with any follow up questions
• Contact individuals who have been nominated to request consent, biographical information and a photograph
• Deliver the campaign in digital format including University of Edinburgh websites, screens, mailings and social media channels
• Deliver the campaign in print format including an Edinburgh Science Festival exhibition, city wide banners and posters and other marketing materials.

If an individual who has been nominated gives us permission, we will share name, affiliation, photograph and biographical information as part of the campaign and in the formats listed above. We will not share contact information of individuals who have submitted a nomination, or have been nominated, with any third parties.

After the campaign has finished (December 31, 2026) we may be in touch with all those involved as it is our legitimate interest to help us improve any future campaigns and similar activities that we might organise.

We will hold the personal data you provided us for 24 months to cover the campaign ending and the evaluation stage.

We do not use profiling or automated decision-making processes.
