How to keep up-to-date: revalidating your CEP certificate

A key element of this commitment is our dynamic and responsive CPD offer, designed to meet the evolving needs of our learners. To maintain the highest standards in our provision, we are currently reviewing the support options available within the CEP programme. Through this review, we want to ensure that the support we provide better reflects the variety of educational activities you undertake, the different roles you hold as educators, your career stage, as well as your busy schedule and other personal commitments.

To ensure both continuity and consistency, this review will be implemented gradually.

Over the coming months, CEP workshops will continue to run as normal, and individual certificates for these sessions can continue to be used as evidence for GMC Framework Areas (FAs) 1–6.

As the first step in our review, we are exploring the most effective ways to support CEP learners in evidencing and fulfilling GMC FA 7: “Continuing Professional Development as an Educator.” This area encompasses a wide remit, including the requirement to keep educational skills up-to-date, reflect on teaching practice, and engage in relevant CPD; therefore, there are a variety of pathways to meet these criteria.

During this review period, we have made the decision to pause the scheduling of any new Teaching Observation and Feedback sessions (TOFs), or Reflection on Teaching sessions (ROTs). Any TOFs and ROTs that have already been arranged will proceed as planned, but no new sessions will be offered until further notice. As TOFs are currently an integral part of CEP revalidation, this means that we are in effect also pausing revalidations.

What is CEP revalidation?

It is important to keep up-to-date in your educational role, so you need to revalidate your CEP every 5 years.  CEP revalidation is a quicker and easier process than working through the whole programme.  CEP revalidation is not the same as GMC Recognition of Trainer (RoT) revalidation, however many people do choose to revalidate their RoT status by completing the CEP because it is mapped to the GMC’s 7 Framework Areas for Supervisors. If you are seeking RoT status, you should discuss how you wish to attain and maintain this with your appraiser, (and / or your local Director for Medical Education, if you teach postgraduates).

How often do I need to revalidate?

CEP certificates are valid for 5 years from their date of issue. Revalidation of CEP status must be completed within that 5 year period. 

When you obtain your CEP certificate, please make a note of your CEP revalidation date.  Please make sure that we have up-to-date contact details for you.  Contact  CEP@ed.ac.uk if you change your details.

Am I eligible to revalidate?

To be eligible for CEP revalidation, you must meet the requirements for continued registration with the CEP. Please see the CEP eligibility and registration criteria.

How can I revalidate?

Before your CEP revalidation date, you must do the following:

Send us a teaching log Your log should briefly describe how you continue to be involved in teaching during the previous 12 months. This may be any format. A link to a template teaching log is below.
Send us feedback Your feedback should be obtained from your students / trainees in response to your teaching.  A small sample of formal written feedback is adequate: the purpose of this is to demonstrate that you have made an effort to identify scope for development in your teaching. A link to a template evaluation form is below, or you could use the MeFB online platform.
Arrange a teaching observation and feedback session (TOF) Please be assured that this is a developmental opportunity for a one-to-one observation by a CEP tutor in a safe and supportive environment.  There is no graded element and the feedback is confidential. See the Program Structure page of the CEP website for further information about TOFs. 

In addition to these compulsory elements, you are very welcome to sign up for any of our current CEP courses as a refresher. This is entirely optional, though we are always happy to see familiar faces on our courses and benefit from the experience people bring when they re-engage with the programme.  Joining a CEP course is also a way to network and link back in with the clinical educator community.

What happens if I am outside the revalidation timeframe?

If you do not revalidate your CEP certificate within 5 years, you will need to work your way through the whole programme again, (ie 6 CEP courses plus the teaching observation).  

If you feel that there are extenuating circumstances that have prevented you from being able to revalidate within the 5-year period, such as prolonged sick leave around your revalidation period, you may contact the CEP administrator to lodge an appeal.  The CEP team will consider each case on its merits and, where there is any doubt, they will consult the Director for Postgraduate Taught Medical Education. The CEP administrator will inform you of the team’s final decision within 2 weeks of your appeal being lodged.
